Overview
This article covers how to manage the CR round-up feature.
NOTE: This article assumes that a Cloud Retailer technician has installed the feature. To purchase this feature, contact 320-230-2282 or support@cloudretailer.com for more information.
Turning the Feature On or Off
The round up feature is activated or deactivated per location using a query filter.
- Log into your back office.
- On the left panel, click admin, find and click "Query Filters"
- Find the query filter named "FundraiserLocations" and double click it to edit.
- You will see what looks like a report. Locations listed in the report will have the round up feature activated. Use filters to change which locations are in the report. (In the example below, the even cheaper liquor location has the feature active).
- Once you have set this up, don't forget to save!
How to Configure Charities
This section covers changing which foundations are displayed in the POS on the round up prompt. This is used for reporting purposes.
Click admin, find and click "List"
Find the List named "FundraiserFoundationList" and edit this list.
Usually, you can just change the name in the list, but if you have more than one fundraiser, you can also add a new entry to the list.
Once the charity list is set up, you can save and close the page.
How it Works in the POS
If you made any changes in back office, make sure to restart the POS.
In the POS, you will see a pop-up (shown below) when tendering a transaction with an uneven dollar amount
Clicking "Decline" will proceed to the tender window
Clicking "Round Up" will add a donation item to the transaction that rounds the total up to the nearest dollar.
Adding an amount in the text box and clicking "Round Up" will add the amount entered PLUS the round up amount.
If the customer would like to donate a specific amount without rounding up, you can change the price of the donation product manually after adding it.
You can also select a foundation (this is set up in the "How to Configure Charities" section). If you have a single charity in the list, it will be selected automatically. Otherwise, you will have to select the chosen charity by clicking the dropdown.
Reporting
We cover the End of Day Reconciliation report and the Not Contributing to Sales report in this section.
- Go to the "End of day reconciliation" report under tools.
- At the very top left, under the "Cash In" KPI, you will find the "Not Contrib. To Sales" section. Donations are in this category.
- Scrolling farther down the report, you will find a detailed breakdown of this number in the "Not Contributing To Sales" summary.
- If you are looking for detailed reporting on donations, search for "Not Contributing To Sales" under the reports tab.
- Once you have the report open, you can add the column "Item Comment" (columns can be added by clicking the plus sign in the top left of the report). This column shows the charity the donation is meant for.
- With that column added, you should have all the data you need to run a fundraiser!
